PDI automation

Operators searching for PDI automation are rarely trying to replace PDI. They are trying to stop keying invoices, stop maintaining eleven item files by hand, and stop rebuilding the same spreadsheet every Monday. This page is about that work, and which parts of it are actually automatable today.

If you are weighing a replacement rather than an automation, the honest version of that decision is on PDI alternative.

The four jobs people mean by PDI automation

The term covers four different pieces of manual work, and they have different answers. Being specific about which one is costing you is most of the evaluation.

What PDI automates itself

Worth establishing first, because a good deal of published comparison is written as though PDI were a static system. It is not, and some of what operators are searching to bolt on has been addressed inside the product.

Accounts payable. In March 2024 PDI Technologies and Square 9 Softworks announced a strategic alliance covering AI-driven data extraction into PDI Enterprise ERP and back-office solutions, aimed squarely at eliminating the manual data entry involved in recording accounts payable information. If invoice keying is your complaint, ask your PDI account team about that before buying anything else.

Tobacco trade programs.PDI publishes the retailer requirements for Altria Group Distribution Company’s 2026 Digital Trade Program, effective 1 January 2026, which runs four cumulative tiers from scan-data submission up to Personalization Plus offers. Tier compliance is increasingly what releases the money on tobacco, and it is a systems requirement rather than a merchandising one.

PDI is a large and long-established vendor. By its own account it was founded in 1983, is headquartered in Alpharetta, Georgia, and its solutions reach over 200,000 convenience and petroleum wholesale sites in more than 60 countries. More on the company is in PDI Technologies.

What stays manual, and why

Automating an export is not automating the answer. Most “automation” projects in this category end with the same report arriving on a schedule instead of being pulled by hand. The Monday spreadsheet still gets rebuilt, because the question it answers spans stores, banners or more history than the export carries.

Cross-site reconciliation has no owner in a single-store system. A back office is built to be correct about one store. Past the first few sites the binding question changes from “maintain the item file” to “work out which of the eleven item files is right,” and nothing in a per-store system is responsible for that.

Money that arrives after the sale is nobody’s job. Buydowns and allowances settle late and conditionally. Almost no store compares units paid against units sold at the promoted price, so a shortfall looks exactly like a credit that arrived.

What Scout automates

Scout sits on top of the systems you already run, and can take over as much of them as you want it to. The work it absorbs first is the maintenance and the cross-site reconciliation, which is the part that gets skipped when one person is also covering shifts.

  • Read PDI, and keep it

    If PDI is your system of record and it works, nothing has to move. Scout reads from it and answers the questions it was never shaped for: across sites, across banners, and across enough history to tell a trend from a bad week.   • Centralize the item file across every site

    Most groups do not have one item file, they have one per store, and the differences stay invisible until somebody reconciles them by hand. Scout can hold one: cost, retail, pack size and department maintained in a single place and pushed back out to each register, so a cost change is keyed once rather than eleven times.   • Turn invoice checking into exception review

    Cost changes arrive faster than a person can verify them. Scout reads distributor invoices and cost catalogs against what is on file and surfaces only the lines that moved, so the review is the exceptions rather than the whole file.

  • Close the loop on ordering

    Scout holds the order guide for the distributors you already buy from, produces store-level order recommendations against your own movement, and raises and transmits the purchase order, over EDI where the distributor supports it. The recommendation and the order stop being two systems somebody keeps in sync by hand. Who supplies the channel.

  • Reconcile the money that arrives late

    Buydowns, scan-data payments and allowances settle weeks after the sale, on evidence the store submitted. Scout holds units sold by SKU by day against what was claimed and what was paid, which is the match that says whether a promotion actually funded itself. The buydown calculation, worked.

Run it alongside PDI, or in place of it. Groups that already have a back office they like keep it and run Scout across the top. Groups tired of maintaining one per site move the item file onto Scout and run it from there. Both are normal, and which way round is a preference rather than a constraint.

What Scout does not do.Labour scheduling. It sits inside most vendors’ definition of a back office, which is exactly why it is worth naming: Scout does not build or cost a shift roster, and it does not tell you who is on tomorrow. Everything else on this page it will take over if you want it to.

    The exports nobody has gotten around to automating yet. A spreadsheet is a first-class source in Scout, which matters because it is usually the only place some of the data exists.
